Job Descriptions
President - Moderates monthly board meetings. Attends monthly luncheons and coffees and as many other events as possible. Writes monthly article for newsletter. Organizes spouse party in the fall and old board/new board brunch in the spring. Is an ambassador for the Club within the community. Writes thank you notes, condolences as needed.
1st VP of Activities – Appoints all activity chairs at the beginning of the club year. Involved in as many activities as possible. Determines which activities will continue to be offered based on attendance. Maintains Club calendar and schedules events. Attends new member coffees as needed. Plans the kick-off meeting for all activity chairs and the program for the Fall Luncheon.
2nd VP of Communications – Oversees the publication of the monthly Club Newsletter. Handles all club public relations with in the community. 10-15 hours each month Publisher is the program used for the creation of the newsletter- can also be done on a Mac.
3rd VP of Evening Socials – Responsible for planning, organizing, and scheduling evening social events during the club year. Determines the number and type of events offered.
4th VP of Luncheons –Plans and organizes 9 luncheons/programs with her committee of 6-8. The planning starts with committee meetings in the summer and proceeds through the year until complete. The duties of seating, nametags, collecting money, flowers and newsletter announcements are spread among the committee members.
5th VP of Membership – Responsible for all aspects of joining or renewing membership in the club. In charge of planning, scheduling, and attending monthly new member coffees. (Computer skills required-Excel)
Treasurer – the custodian of all funds of the club. Records all deposits and payments, creates financial statements, presents a budget at the beginning of the club year and prepares required filings for tax. (excel and computer skills)
Secretary – records the attendance and minutes of all meetings. Responsible for distributing these minutes in a timely fashion to attendees for corrections and approval. Oversees the arrangements for Board meetings at request of the President.
Activity Co-chair – assists the 1st VP of Activities in overseeing monthly activities. Attends new member coffees in her absence as needed. Tracks and organizes online newsletter articles submission each month and follows up when necessary.
Evening Social Co-chair – assists the 3rd VP of Evening Social in the planning and scheduling of events.
Luncheon Co-chair – assists the 4th VP of Luncheons in deciding the programs and locations for the monthly luncheon meetings. Contacts restaurants, locations. and/or speakers as needed. Works with committee members on details of programs, menus, centerpieces, raffles, etc.
Membership Co-Chair – assists the 5th VP of Membership in keeping track of members and scheduling coffees. Responsible for retrieving mail from P.O. Box and recording all member checks received. Also distributes club information to new and prospective members. MS Excel skills required.
Website Coordinator - Manages club website, email list coordination, provides support to the board, treasurer, communications, activities and other club committees
(PC, basic web & computer skills required)
Directory- Under the auspices of the 5th- VP of Membership, the membership directory is compiled and published annually. Periodic electronic updates are submitted to Website Coordinator for placement on Club website. (Computer skills required)
Encore Liaison- Attends Newcomers’ & Encore board meetings and acts as a channel for communication between the groups.
